How to Set Up Managed Accounts in Xink for Branch-Level Signature Control

Purpose: This guide explains how to configure Managed Accounts in Xink so that each office or branch can manage its email signature setup while ensuring consistent brand standards globally. Ideal for multinational companies using Microsoft 365 or Google Workspace.

  • Enable local office-level accounts (e.g., for each country or region).

  • Assign local administrators who can manage users and content specific to their branch.

  • Lock key template elements such as logos, structure, and branding while allowing editable sections (e.g., additional contact info, and disclaimers) to maintain global consistency.

Note: The Managed Account is a separate environment and must be configured independently. You will need to reconfigure settings such as templates, rules, and integrations. However, some configurations can be copied and pasted from the Master Account to speed up the process.

Step-by-Step Guide

1) Request Activation of Managed Accounts

  • Contact Xink Support to enable the Managed Accounts feature in your primary account.
  • There is no additional cost for using Managed Accounts.

2) Create the Managed Account

  • Once enabled, go to Managed Accounts in your master account.
  • Click Create New Managed Account.
  • Provide the branch name and assign an admin email.

3) Delete Users from the Master Account

  • Email addresses must be unique across accounts in Xink.
  • Go to Users > Delete in the master account and remove the users who belong to the branch.

4) Integrate with Microsoft Entra ID or Google Workspace

  • Impersonate the new Managed Account (click the small gear icon).
  • Navigate to the Integrations > Azure AD or Google Directory Integration.
  • Connect the account to your tenant.
  • Select the appropriate user group(s) to sync for that branch.

5) Re-add Users via Sync Now 

  • After the Integration, verify that all relevant users are added correctly.

6) Assign Email Signatures

  • Create or copy/paste (HTML source) to reuse a signature template for the branch.
  • Lock brand elements like the logo and structure.

7) Deploy the Microsoft 365 Add-in

  • From the Managed Account, open the 365 Add-in deployment wizard.
  • Deploy via Microsoft 365 admin center.
  • Target only the synced users for that specific branch.

8) Add the Branch Administrator Role

  • Add the branch administrator and assign the required roles.
  • This administrator can only access the templates and employees in the branch account.
