Can users have multiple email signatures?

Short answer:
Yes. Users can have multiple email signatures, including default signatures and optional ones they can select when composing emails.

Each user can have the following types of signatures:

  • New – Used for new emails
  • Reply – Used for replies and forwards
  • Optional – Additional signatures that users can choose manually

What are optional signatures?

Optional signatures are not set as the default, but users can select them when composing an email using the Xink Outlook Add-in.

Common examples include:

  • Language versions (e.g. English, Danish, German)
  • Signatures for shared mailboxes
  • Department-specific signatures
  • Campaign or promotional signatures

How users select a different signature

Users can switch between available signatures directly in their email client using the Xink add-in.

Tip

Use optional signatures to give users flexibility while still maintaining centrally managed templates.
