How to Assign a Shared Email Signature to a Personal Assistant (PA)

The Personal Assistant (PA) feature allows an assistant to send emails on behalf of an executive, such as a CFO, using the executive’s email signature.

This is ideal for law firms, executive assistants, and teams where secretaries or support staff send emails on behalf of others.


Assign a Signature to a PA

  1. Go to the **Xink Portal** and select the EMPLOYEES menu.
  2. Search for and select the manager(s) whose signature will be used by the PA.

  1. In the new window, search for and select the PA.

View Shared Signature Assignments

You can view an overview of shared signatures in the EMPLOYEES menu:

Remove a Shared Signature

  1. Click the gear icon next to the employee.
  2. Select Shared Signatures.
  3. Click Delete to remove the shared signature assignment.

A checkmark appears next to the user’s name in the Shared Signatures view when successfully shared.

Show Partner’s Details and PA’s Contact Info

To display both the partner’s and the PA’s details in the signature:

  1. Share the partner’s signature with the PA.
  2. Use a template with ((shared:...)) fields for the partner’s info.

The shared: feature must be enabled

Please get in touch with Xink support to activate the shared: field feature.

Note

The shared: fields will not appear in the preview. They only show in Outlook.
Shared mailbox email signatures will be disabled.
If needed, you can easily switch back to the previous setup at any time.

Yes, as long as you're using Outlook as your email client.
Does this work with Outlook for Windows?
Yes, this works with Outlook 2016 and newer versions, including New Outlook.
Does this work with Outlook on the web?
Yes.
Which signatures are made optional?
The default and reply signatures are available to the PA. If none are assigned, no signature will appear.
Do we need to upgrade to get this functionality?
No upgrade is required. This is included in your current plan at no extra cost.
What if a user had a campaign or image I don’t have?
They are automatically copied to your account. No action is needed.
