How to create a new email signature
- Go to the SIGNATURES menu
- Click the + button

You only need to create one signature template for all employees. Xink uses fields to automatically insert employee-specific data.
Examples of dynamic fields:
- Name
- Job title
- Email address
- Phone number
Example
If all employees share the same company address, you can add it to the template once. Then use fields for personal details like name and phone number.

How to preview your email signature
- Go to the SIGNATURES menu
- Open the signature you want to preview
- Click Preview
- Select an employee from the dropdown


- Preview shows how the signature looks with real employee data
- It does not fully simulate all email clients
- Always test your signature in Outlook and other clients before rollout

How to insert an image in your signature
Use Xink for image hosting
Always upload images directly to Xink. External image hosting may cause images in email signatures to break.
- Click where you want to insert the image
- Click the image icon in the toolbar
- Select the Upload tab
- Choose your file and click Send it to the server

How to use an existing uploaded image
To reuse an image already uploaded to Xink:
- Open the Image Info tab
- Click Browse Server
- Select your image
Why do images sometimes look blurry in Outlook?
Outlook resizes images automatically
Xink does not change your image quality. However, Outlook may compress or rescale images when emails are sent.
Outlook typically scales images to 220 PPI.
- Upload images at the correct size (100% dimensions)
- Avoid scaling images in the editor
- Use optimized image files for best results
How to use a built-in template
- Go to the SIGNATURES menu
- Select Templates in the left panel
- Choose a template
- Click the gear icon and select Add to My Signature folder


The template is now available in your SIGNATURES section and ready to use.
