Short answer:
Recipient email rules let you automatically change email signatures based on the recipient (internal vs external, company, or region). This feature requires the Outlook add-in to be deployed with a modified manifest (XML).
Recipient email rules allow you to segment email signatures based on the recipient’s email address.
Before using this feature, you must enable it by deploying the Xink add-in with a modified XML file. See the guide: Enable Recipient-Based Email Signatures.
What you can do with recipient rules
- Automatically change the email signature for internal emails
- Apply rules such as encryption for specific companies
- Promote campaigns or events to selected companies, countries, or regions
For example, you can create a dedicated signature for internal emails or show different campaigns depending on the recipient.

How rules are applied
The order of the rules matters. Once a rule condition is met, no further rules are evaluated.
You can reorder rules by dragging them using the three-bar handle.

Limitations
The recipient rule applies to the first email in a conversation.
Outlook for iOS and Android does not support recipient-based rules.

You can target multiple recipients by separating email addresses with a semicolon (;) without spaces.
The Recipient field supports up to 1024 characters, including email addresses and semicolons.
