Short answer:
The Personal Assistant (PA) feature allows a user to send emails on behalf of another person using that person’s email signature. Assign the manager’s signature to the PA in Xink to enable this.
The Personal Assistant (PA) feature allows an assistant to send emails on behalf of an executive, such as a CFO, using the executive’s email signature.
This is ideal for law firms, executive assistants, and teams where support staff send emails on behalf of others.
Assign a signature to a PA
- Go to the Xink Portal and open the Employees menu.
- Select the manager whose signature the PA should use.
- In the employee window, search for and select the PA.


View shared signature assignments
You can view all shared signatures in the Employees menu.

Remove a shared signature
- Click the gear icon next to the employee.
- Select Shared Signatures.
- Click Delete to remove the assignment.

A checkmark appears next to the user’s name when the signature is successfully shared.
Show partner details and PA contact information
If a PA sends emails on behalf of a partner, you can display the partner’s details while keeping the PA’s contact information.
To do this:
- Share the partner’s signature with the PA in Employees.
- Use
((shared:...))fields for the partner’s details in the template. - Assign the template as the PA’s New or Reply signature.

Shared field requirement
The shared: feature must be enabled. Contact Xink support to activate it.
Note
The shared: fields do not appear in preview. They are only visible in Outlook.
Shared mailbox signatures will be disabled when using this setup.
