This guide demonstrates how to assign email signatures to shared mailboxes such as:

We recommend updating email signatures using the 365 add-in. This guide covers the legacy client method, suitable for Classic Outlook (2016 or earlier).
Using the Legacy Xink Client on Windows (Classic Outlook)

Set the shared mailbox signature as optional and assign it to users individually or via group rules.
In the Xink Portal, go to the Employees section and set the primary mailbox user to "Do Not Change" to prevent overwriting signatures for other mailboxes.
In Classic Outlook, go to File > Options > Mail > Signatures, then select the shared mailbox's email account and configure the default signature settings. This preserves account-level settings when the Xink client updates.
Note: To avoid deleting custom or manually configured signatures, disable the setting “Delete signatures not set as default/reply/optional” in the Xink portal. Learn more here.
