IT Pro: Server-Side Only Signatures (Including Outlook)

The Server-side only option ensures that the email signature is applied to all outgoing emails when they are sent — including messages sent from Outlook and other email clients.

Important: Only enable this option if you are NOT using the Outlook add-in.
If you are using the Outlook add-in, signatures are inserted directly in Outlook and server-side should not be enabled.

When server-side is used, the email signature is automatically inserted into the correct position in the email conversation. It will not be stacked at the bottom of the email chain.

How it works

When an email reply or forward is sent, Xink looks for a message divider in the email conversation.

If a divider is detected, the reply signature is inserted above the divider, ensuring the signature appears in the correct place within the conversation.

Dividers are automatically recognized in:

  • Outlook for Windows
  • Outlook for Mac
  • Outlook on the web

To use server-side signatures, you must have a Microsoft 365 environment.

Enable “Server-side only”

1. Open the Preferences menu in the top-right corner of the Xink portal.

2. Enable the option Server-side only (incl. Outlook).

Once enabled, all outgoing emails will have the Xink signature applied through the Microsoft 365 mail flow.
