How to Manage Role-Based Admin Access

Xink’s role-based access control allows administrators to assign logins with different permission levels based on their job roles.

Use Case Examples

Example #1 – IT hands off login to Marketing:
IT sets up the Xink account for pilot users and confirms everything works. Then IT adds a login for Marketing and assigns appropriate roles, handing over control to Marketing.

Example #2 – Marketing hands off login to IT:
Marketing configures the account for a pilot run. Once satisfied, they add an IT login to automate or integrate with internal systems. This is typically a one-time setup.

How to Add an Administrator and Set Permissions

Click Admins in the drop-down menu (top-right corner):

Click the + button:

Assign roles for the new Xink administrator. The new admin will receive credentials via email.

How to Change Permissions

Click the gear icon and select Permissions:

Account Administrator

  • Assigned to the first admin during signup.
  • Can manage everything, including adding or removing other admins.
  • Only account admins can promote others to admin roles.
  • Has access to the Data Processing Agreement (DPA).

Security safeguards are in place to prevent lockouts and support overhead:

  • Only Account Admins can access the Admins and Preferences sections.
  • Admins cannot delete or change their own permissions — they’ll get an error if they try.
  • Admins can update other admins' email addresses (usernames), including themselves, but no email verification is enforced.
  • Emails must be unique across all Xink accounts. For example, john.doe@gmail.com cannot be added to multiple Xink accounts.

Signature Administrator

  1. Schedule updates from the Dashboard.
  2. Manage all signatures: create, edit, preview, and delete.
  3. Assign signatures in the Employees, Rules, and Signatures sections.
  4. Send invitation emails to employees.
  5. Create and manage fields in the Fields section.
  6. Create, edit, and remove rules in the Rules section.
  7. Access the Subscription section.
  8. Can change their own Xink password.
  9. Has access to the DPA.

Marketing Administrator

  1. Schedule updates from the Dashboard.
  2. Manage Campaigns: create, edit, and delete.
  3. Assign campaigns to signatures and rules.
  4. Create, edit, and remove campaign rules.
  5. Access the Subscription section.
  6. Can change their own Xink password.
  7. Has access to the DPA.

People Administrator

  1. Schedule updates from the Dashboard.
  2. Manage employees: full access to the Employees section.
  3. Assign signatures in the Employees and Rules sections.
  4. Create, edit, and remove signature rules.
  5. Manage fields in the Fields section.
  6. Access the Subscription section.
  7. Can change their own Xink password.
  8. Has access to the DPA.

Managed Accounts Administrator

  1. Manage multiple divisions or client accounts using a single login.
  2. For partners/resellers: manage all client accounts from one interface.
  3. Can impersonate, configure, and maintain accounts.
  4. Has access to the DPA.
