Download, update, and upload — done! Updating employee details using Excel is fast and doesn't require IT assistance.
XLSX format is required and supported by Office 2013, 2016, and Microsoft 365. XLS and CSV formats are not supported.
Download from Employees
Do not delete Row 1 from the Excel spreadsheet — it defines Xink field mappings.
Email, Firstname, Lastname, and Display Name are mandatory fields.
Delete any columns you do not wish to update.
Import from Excel
Once your XLSX file is ready, follow these three steps to upload it into Xink:
Log in to Xink > EMPLOYEES.
Click the (+) button and choose IMPORT FROM EXCEL.Click Browse to upload your file.
Your data will be displayed for review.
Select the appropriate Xink field for each column.
Each column must map to an Xink field.
To replace all existing employee data, check Overwrite existing.
Duplicate records are automatically handled by Xink.Click Import to complete the process. The employees will now appear under the EMPLOYEES section.
Your employee list is now permanently updated in your account.
Update Only Specific Fields
You can selectively update employee fields using the Overwrite existing option. Your Excel file must:
- Include the employee's Email (mandatory).
- Only the fields you want to update must be contained.
Empty fields will overwrite existing values with blanks.
Example: To update only the Mobile number, include just Email and Mobile in your Excel:
Then go to Employees > Import from Excel and check Overwrite existing before importing.
Cannot read the File?
If you see an error reading the file, open it, click Save As, give it a new name, and try importing again.
