Short answer:
The (Do not change) option allows Xink admins to make approved email signatures available without changing the user’s current default signature for new emails or replies.
This is useful when you want to provide standardized signatures while keeping each user’s existing preferences unchanged.
What does (Do not change) do?
When (Do not change) is selected for New email or Reply email, Xink does not modify the user’s current default signature settings.
- Xink does not overwrite the default signature for new emails.
- Xink does not overwrite the default signature for replies and forwards.
- Approved Xink signatures are still available in the Outlook add-in.
- The user can choose and set a different default signature if needed.
In practice, this means admins provide approved signatures while users retain control over which one is used by default.
When should you use (Do not change)?
Let users choose their preferred signature
Use this option when you provide multiple approved signatures and want users to decide which one to use for:
- New emails
- Replies and forwards
Instead of assigning a default, users can select their preferred signature directly in the Outlook add-in.
Use during technical setup
This setting is also useful during onboarding or configuration.
IT can complete the setup without affecting existing user signatures. Once ready, responsibility can be handed over to communications or marketing teams to manage approved templates.
User experience
When (Do not change) is applied:
- The user’s current default signature remains unchanged.
- Approved Xink signatures are available in the add-in.
- The user can update their default signature at any time.
The screenshot below shows the available options for selecting default signatures for New and Reply emails.
Summary
(Do not change) keeps the user’s existing signature settings intact while still providing access to approved Xink signatures. It is ideal when you want flexibility for users or when setup is still in progress.
