This method updates your company email signatures in Classic Outlook on Windows.
✅ Great for
- Classic Outlook desktop on Windows
- Trial users — quick setup without IT involvement
- Small companies
- Remote staff or non-domain users (e.g., working from home)
⚠ Not ideal for
- New Outlook
- Outlook on the web
- Outlook on mobile devices
- Large organizations (hundreds of users or more)
- Use the Outlook add-in to update signatures across all devices
How to invite employees
- Go to the Employees menu.
- Search for the user, click the gear icon, and select Send Invitation Email.
Select multiple employees
The employee receives an invitation email sent from the Xink administrator.
The email includes instructions to:
- Download the Xink client
- Install it
- Enter their personal access code
You do not need admin rights to install the client.
Once installed, enter the access code when prompted. The code links the user to their assigned Xink signature.

Copy and paste the access code into the prompt. If the form is not visible, click the Xink icon in the Windows taskbar:

After entering the access code, signatures are updated in Classic Outlook. The default signature appears when composing a new email.
Signatures are automatically updated every hour (by default) via the Xink client.
If no changes are detected, the signature remains unchanged.

Force update manually
You can manually update signatures by clicking the Xink icon and selecting Update Now.
