Short answer:
Xink's role-based admin access lets you give different administrators access based on their responsibilities. For example, IT can manage setup and integrations, while Marketing manages signatures and campaigns.
Xink’s role-based access control helps you assign the right permissions to the right people, so teams can manage only the parts of the account they are responsible for.
Common use cases
Example #1 – IT hands off access to Marketing
IT sets up the Xink account for pilot users and confirms everything works. Then IT creates a login for Marketing and assigns the relevant admin roles so Marketing can manage signatures and campaigns.
Example #2 – Marketing hands off access to IT
Marketing configures the account for a pilot run. Once the setup is approved, they add an IT login so IT can automate synchronization or connect Xink to internal systems.
How to add an administrator
- Click Admins in the drop-down menu in the top-right corner.
- Click the + button.

- Enter the new administrator details and assign the required roles.
- The new admin receives login credentials by email.

How to change permissions
Click the gear icon next to the administrator and select Permissions.
Admin roles in Xink
Account Administrator
This is the highest admin level in Xink.
- Assigned to the first admin during signup
- Can manage the full account
- Can add, remove, and update other administrators
- Can promote other admins to new admin roles
- Has access to the Data Processing Agreement (DPA)
Security safeguards:
- Only Account Administrators can access the Admins and Preferences sections
- Admins cannot delete themselves or change their own permissions
- Admins can update admin email addresses, including their own
- Email verification is not required when changing an admin email address
- Email addresses must be unique across all Xink accounts. For example, john.doe@gmail.com cannot be used in multiple Xink accounts.
Signature Administrator
This role is intended for users who manage signatures and related signature settings.
- Schedule updates from the Dashboard
- Create, edit, preview, and delete signatures
- Assign signatures in Employees, Rules, and Signatures
- Send invitation emails to employees
- Create and manage fields in Fields
- Create, edit, and remove rules in Rules
- Access the Subscription section
- Change their own Xink password
- Has access to the DPA
Marketing Administrator
This role is intended for users who manage campaigns and marketing content.
- Schedule updates from the Dashboard
- Create, edit, and delete campaigns
- Assign campaigns to signatures and rules
- Create, edit, and remove campaign rules
- Access the Subscription section
- Change their own Xink password
- Has access to the DPA
People Administrator
This role is intended for users who manage employees and employee data.
- Schedule updates from the Dashboard
- Manage employees in the Employees section
- Assign signatures in Employees and Rules
- Create, edit, and remove signature rules
- Manage fields in the Fields section
- Access the Subscription section
- Change their own Xink password
- Has access to the DPA
Managed Accounts Administrator
This role is designed for partners, resellers, or organizations managing multiple Xink accounts.
- Manage multiple divisions or client accounts using one login
- View and maintain accounts from one interface
- Impersonate managed accounts for configuration and maintenance
- View license allocation and usage across managed accounts
- Download license usage reports in Excel format for analysis or reporting
- Has access to the DPA
