How to enforce a company policy by eliminating all user-created email signatures

You’ve created a professional company email signature and successfully deployed it to all staff. But now you want to ensure no one uses homemade versions that violate your company’s branding policy.

Can I remove all existing email signatures except the ones I manage via Xink?

Yes, you can!

To prevent users from using unauthorized signatures:

  1. Click the Gear icon in the top-right corner of your Xink dashboard.
  2. Select Preferences.
  3. Go to the General tab > Preferences section.
  4. Check the option: Delete signatures not set as default/reply/optional.
  5. Click Save.
  • Staff can only use the signatures assigned as default, reply, or optional via Xink. This is a global setting for all users in your account.
  • If you do not select the “Delete all email signatures not created in Xink” option, users may still access previously used or personal signatures. Xink will continue to overwrite the default/reply signatures, but users could manually select their own.
