Short answer:
Download your employee list, update it in XLSX format, and import it back into Xink to quickly update employee details in bulk.
Download, update, and upload — done! Updating employee details using Excel is fast and does not require IT assistance.
XLSX format is required and supported by Office 2013, 2016, and Microsoft 365. XLS and CSV formats are not supported.
Download from Employees
Do not delete Row 1 from the Excel spreadsheet — it defines Xink field mappings.
Email, Firstname, Lastname, and Display Name are mandatory fields.
Delete any columns you do not wish to update.


Import from Excel
Once your XLSX file is ready, follow these steps to upload it into Xink:
Go to EMPLOYEES.
Click the (+) button and select IMPORT FROM EXCEL.
Click Browse and upload your XLSX file.

Review your data:
Select the correct Xink field for each column.
Each column must be mapped to a field.
To replace existing data, enable Overwrite existing.
Duplicate records are handled automatically.
Click Import to complete the process.

Your employees will now appear in the EMPLOYEES section.

Update only specific fields
You can update selected fields using the Overwrite existing option.
Your Excel file must:
- Include the employee’s Email (mandatory).
- Only include the fields you want to update.
Note: Empty cells will overwrite existing values with blanks.
Example: To update only the Mobile number, include just Email and Mobile:

Then go to Employees > Import from Excel and enable Overwrite existing.
Common issue: Cannot read the file
If you see an error when uploading the file:
- Open the Excel file.
- Click Save As.
- Save it with a new name in XLSX format.
- Try importing again.

Tips
- Always keep Row 1 unchanged to preserve field mapping.
- Start with a small test import before updating all employees.
- Double-check mappings before clicking Import.
