IT Pro: How to read groups from Google Workspace Directory

Group membership from Google Workspace Directory can be used to distribute different email signatures to specific groups of users.

This is useful when the primary data source does not contain enough information to create user segments based on fields such as department, office, or role.

Step 1: Create the Groups field in Xink

  1. Go to Preferences > Fields.
  2. Click the “+” button to create a new field.
  3. Enter the Property name groupCnList.
Xink accounts created after February 2018 include the Groups field by default.

Step 2: Enable reading groups from Google Workspace

When users are imported into Xink, the default Groups field can display the Google Directory groups that the user is a member of.

This feature must be enabled by Xink support.

The Groups field will contain a list of the user's Google Directory groups.

Step 3: Create rules based on group membership

You can use the Groups field to target specific users when assigning email signatures.

  1. Go to Preferences.
  2. Select Rules.
  3. Create a rule that checks the Groups field.

Best practice: Create one rule per group check.

Avoid adding extra conditions to the same rule, as this makes rules harder to maintain.

You can move rules up or down to control the execution order. Xink will stop processing rules once the first matching rule is found.
