Non-Tech: How to update email signatures in Classic Outlook (Legacy) using invitation email (Client-side)

This method will update your company's email signatures in Classic Outlook on Windows.

✅ Great for

  • Classic Outlook desktop on Windows
  • Trial users — quick setup without IT involvement
  • Small companies
  • Remote staff or non-domain users (e.g., working from home)

How to Invite Employees

  1. Go to the Employees menu.
  2. Search for the user, click the gear icon, and select Send Invitation Email.

The employee will receive an email invitation sent from their Xink administrator (from "Xink.io").

The email includes instructions to:

  1. Download the Xink client
  2. Install it
  3. Enter their personal access code

You do not need admin rights to install the client.

Once installed, enter the access code when prompted. The access code is personal and links the user to their assigned Xink signature.

Copy/paste the access code into the prompt. If you don’t see the form, click the Xink icon in the Windows taskbar:

Once the access code is entered, the Classic Outlook email signatures are updated. The default signature appears when composing a new email in Classic Outlook.

Signatures are automatically updated every hour (by default) via the Xink client running in the system tray.

If no changes are detected (template, info, or campaign), the signature remains untouched.

Admins can manually update by clicking the Xink icon and selecting Update Now.
