Before you can update Outlook on the web (formerly Outlook Web App) email signature, you need to to add impersonation rights. 


To assign a user the permissions to perform specific administrative tasks, you add the user as a member of the role group for those administrative tasks.

 

For example, if you hire a new employee for your help desk staff, you simply add the new employee to the Help Desk role group and he is ready to go.

 

The combination of all roles assigned to the role group defines everything that a role group member can manage in his organization. 

So your task is to create a new role group, assign roles and a member inside it. Follow the steps below to execute this operation properly.

 

User creation

 

You may assign the existing user as a member of your role group or create a new one. To create a new user with the privileges in the role group follow the next steps:

  1. Sign in to your Office 365 account:

  2. Find and click ‘Add new users’ under 'admin shortcuts':

  3. Fill in the mandatory fields in the following tabs:

    • Details – fill the name of the user and turn ‘next’ to another tab; the fields with the asterisk (*) are mandatory:

    • Settings – check ‘No’ near the question ‘Do you want this user to have administrator permissions?’ and select the user location from the drop-down list, then go on with the ‘next’:

    • Licenses – all licenses should be checked, then click ‘next’ step:

    • Send results – click ‘create’ to send the results; you can also email these results to up to five recipients, including yourself. Enter the email addresses separated by semicolons. If you don’t want to email the results, just uncheck this message.

    • Results – review your results, i.e. user name and the temporary password, remember and ‘finish’:

The user account is created and the one can sign in and access services, but to unlock this newly created user account is necessary to enter office365.com with a help of these credentials first. Go first to office365.com and log in under the newly created user. You will be asked to change your temporary password to a new permanent password and save.


After that enter the credentials into the login box in the Preferences > Integration > Office 365 in your Xink administration interface and check your account details are OK by clicking the ‘Check connectivity’ button. If the account details are appropriate, then you see "Successfully discovered service...":

 

Once the User creation is done and successfully processed in the Cloud, we may switch to the next task – Role group creation.

 

Role group creation

  1. Sign in to Office 365:

  2. Select ADMIN > Exchange in the left menu:

  3. Choose ‘Permissions’ in the left navigation menu and make sure that you are in ‘admin roles’ tab:

  4. Click ‘+’ sign to add a new role group:

  5. A pop-up ‘new role group’ will open. Fill in the required fields:

    Name specify the name of the group, e.g. ‘XINK365
    Roles select ‘ApplicationImpersonation’ and ‘VeiwOnly-Configuration* role:
    • ApplicationImpersonation management role enables applications to impersonate users in an organization to perform tasks on behalf of the user.
    • VeiwOnly-Configuration management role enables administrators to view all the non-recipient Exchange configuration settings in an organization. Examples of configuration that are viewable are server configuration, transport configuration, database configuration, and organization-wide configuration.
    Members define one member, e.g. ‘xink365sync’ for performing the admin roles specified above*

    Note that ‘xink365sync’ is just an example, you can name the user as you wish.

    To add a role or a member, just click ‘+’ sign near the appropriate field:

    When you hit ‘+’, an extra pop-up opens:

    Roles:
    Choose ‘ApplicationImpersonation’ from the general role list and click 'add - >', then select 'View-Only Configuration' and 'add - >' again. The selected items will move to the role picker field. Once you finish with that, validate.

    Define one member ‘xink365sync’ for these administrative tasks:


  7. The final step is to ‘Save’ and your role group is successfully done.
